Responsible for the smooth and efficient operation of the school administrative office. Provide assistance to the Principal and various school staff. Performing various personnel management functions for the school.
Reports to: Position reports directly to the Principal
Supervises: Front Desk Reception
Duties and Responsibilities:
Supports and upholds the philosophy of Catholic education and the mission for the school.
Supports and adheres to the Code of Conduct and policies and procedures of the school and Diocese.
Abides by the Confidentiality Policy set forth in the Diocese Handbook.
Understands, accepts, and abides by HFCA’s philosophy and mission statement in all his/her school activities
Exhibits high standards of professional conduct.
Welcomes all visitors promptly and professionally.
Provides clerical support as directed by the Principal.
Receiving and responding to inquiries and requests.
Responsible for the completion of required CSO forms and reports due to the Diocese.
Assists with the Principal’s schedule.
Assists with duties/projects as directed by the Administration.
Maintains the inventory of supplies and materials (e.g. forms, office supplies, etc.) for the purpose of ensuring items’ availability
Keeps personnel and PTO records.
Submits sub-sign-in sheets to the business office and reconciles sub days/times to employee leave requests for discrepancies. Manages the internal and formal calendar. Updating as needed.
Bilingual: proficient in speaking, reading and writing English and Spanish.
Strong computer skills including proficiency in Microsoft Windows, MS Office
Interpersonal Skills Required
Preferred Catholic and have an understanding of the workings of a Parish/Catholic School.
Detail-oriented with strong organizational and time management skills
Position: Full Time
Position is an 11-month (August-June), full-time/benefit-eligible, non-exempt position.
Monday – Friday 7:30 am – 4 pm during the school year. During the months of
June & August, work hours may be adjusted to a reduced summer schedule.
