SUMMARY
The Registrar is an administrative professional responsible for maintaining student records at the campus level and performing clerical tasks as needed while supporting the Guidance department.  Reporting to Director of Guidance, the Registrar works independently in the performance of all functions necessary to maintain an efficient and organized office in a professional and confidential manner.

Reporting to the Director of Guidance, the Registrar establishes and maintains cooperative working relationships with students, teachers, staff, parents, and the entire guidance team through meaningful, supportive and frequent communication regarding students’ college admissions process.

A Registrar is responsible for the implementation of the goals of Catholic education as outlined in The Holy See’s Teaching on Catholic Schools (Archbishop Michael Miller):

JOB EXPECTATIONS

Individual duties will consist of, but are not limited to:

·       Demonstrate a high level of customer service and a positive attitude to all constituents.

·        Maintains a variety of files, documents and student records (e.g. grades, transcripts, academic achievement records, etc.) for the purpose of documenting and/or providing reliable information relative to student records.

·        Processes requests from students, alumni, withdrawn students, other schools, colleges/universities and/or employment agencies (e.g. transcripts, job verification, student course requests, attendance/graduation verification, etc.) for the purpose of providing required information.

·        Implement procedures to maintain compliance with all accreditation, diocesan, and applicable governmental standards and requirements pertaining to the maintenance of records.

·        Assist students and teachers as needed in accessing online accounts and navigating Naviance.

·        Manage all school and student data in Naviance and ensure documents are uploaded/verified in a timely manner.

·        Support the dual enrollment coordinator ensuring all processes and procedures and completed.

·        Assist counselors with the preparation of reports and student data information.

·        Remain confidential, flexible and team-oriented while collaborating with other departments and supporting the guidance department.

·        Promote and practice professional growth and development.

·        Collaborate with planning team for Commencement and Honors Convocation ceremony preparation.

·        Complete secretarial/clerical functions of the department in an efficient and timely manner as defined by the Director of Guidance.

·        Perform other duties as may be deemed necessary for the efficient operation of the department.

SKILLS/QUALIFICATIONS
·                  Catholic in good standing with the Catholic Church (preferred).

·        Bachelor’s degree in a related field (preferred).

·        3+ year’s secretarial or related office experience preferably within an educational setting.

·        Technical knowledge of student database software (e.g., Veracross, Naviance) is required.

·        Ability to use the computer/software to develop or maintain spreadsheets and perform word processing.

·        Self-starter with a high level of interpersonal skills and the ability to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.

·        Must be able to work in a fast-paced environment with demonstrated ability to prioritize multiple competing tasks and demands.

·        Excellent organizational, communication (written/verbal), and interpersonal skills required.

·        Bilingual (English and Spanish preferred).
