SUMMARY
The Assistant Director of Athletics is responsible for the implementation of the goals of Catholic education as outlined in The Holy See’s Teaching on Catholic Schools (Archbishop Michael Miller):

SKILLS REQUIRED
The Assistant Director of Athletics assists the Director of Athletics and athletic department staff in the daily operations of the athletic department and works to fulfill the school’s mission in all areas. The Assistant Director of Athletics must be organized, have the ability to work on multiple projects simultaneously and show initiative in assisting the Athletic Directors in achieving their goals. Reporting to the Director of Athletics, the Assistant Director of Athletics must maintain a high level of ethical behavior and professionalism promoting the Dominican Catholic values in our community.

JOB EXPECTATIONS
CALENDAR AND SCHEDULING
-Provide oversight, management and communication of athletic department master event calendar to all necessary stakeholders.
-Coordinate department calendar updates and changes with Associate Director of Athletics.
-Support Athletic Department in the scheduling of games, scrimmages, and other program events essential to the operations of each athletic program at Bishop Lynch High School.
ATHLETIC OFFICE MANAGEMENT
-Manage inventory of department athletic apparel.
-Maintain a current inventory of all team uniforms and equipment for all athletic programs.
-Assist Director of Athletics with meeting preparations.
-Manage and coordinate inventory of all athletic office supplies.
-Coordinate logistics for departmental or team travel as approved by the Director of Athletics.
GAME DAY OPERATIONS
-Coordinate ticketing for all athletic events through online ticketing platform
-Coordinate and communicate the scheduling of all game day workers including ticket gate, concessions and all game day related payroll.
-Serve as game day administrator at select home and away athletic events.
-Assist in the hospitality and welcoming of visiting teams, coaches, and fans for Bishop Lynch home games.
-Support the Associate Director of Athletics in the securing and coordination of game officials.
Candidate must be able to use the Arbiter Sports platform.
EVENT OPERATIONS
-Assist Director of Athletics in the preparation for the beginning of the year coaches meeting and various Athletic Department meetings throughout the year.
-Coordinate the operations and logistics of special events in Athletics (e.g., signing day ceremonies, team banquets) with relevant stakeholders.
BUSINESS OFFICE
-Complete team orders that fulfill the needs for individual programs and the athletic department, as approved by the Director of Athletics (e.g., uniforms, training equipment, etc.).
-Organize and prepare weekly department invoices for approval from Director of Athletics.
-Successfully secure entry fee payments for any specific tournaments or invites across programs.
Process Athletic Department MKS charges and financial paperwork for deposits, athletic fees and check requisitions.
-Coordinate and maintain all Athletic Department credit cards and the corresponding paperwork and documentation.
-High School Athletic Summer Camp Coordinator: responsible for coordinating the high school summer athletic camps on the master calendar.
COMPLIANCE
-Oversee management and processing of all transfer paperwork with TAPPS through the TAPPS Management System (TMS) in accordance with TAPPS transfer deadlines and expectations.
-Support the Associate Director of Athletics and Athletics Department in (a) the management of RankOne for the Athletic Department; (b) the preparation and reporting of primary eligibility rosters to TAPPS; and (c) processing all ejection reports and fines to TAPPS.
-Represent the Bishop Lynch Athletic Department at TAPPS regulated meetings, events, and conferences as requested by the Director of Athletics.
-Perform special projects and additional duties as assigned by the Director of Athletics for the efficient operation of the athletic department.
QUALIFICATIONS
-Bachelor’s degree preferred with 3+ years’ relevant experience.
-Experience working in an athletic department, preferably within the Texas Association of Private and Parochial Schools.
-Knowledge of a variety of computer software applications including word processing, spreadsheets, database and presentation software
-A high level of interpersonal skills and the ability to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy; the ability to provide customer service with grace is a must.
-Interact and communicate with individuals at all levels of the organization. Must have excellent writing skills.
-Continuous attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
-Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands. Must be able to discern between competing priorities.
